Getting started

  1. Open Paydesk. To look around first, choose Start with a sample project: a few clients, projects, invoices and hours, all marked as sample. Or enter your business details, country and currency and start fresh.
  2. Add a client, then add a project to the Board.
  3. Start the timer while you work, from the menu bar or with ⌃⌥Space.
  4. On the Desk, press Bill Now next to a project’s unbilled hours. A draft invoice appears.
  5. Check the draft and press Issue Invoice, then Send to open it in Mail.

Time tracking

The timer shortcut doesn’t respond.

Paydesk uses ⌃⌥Space to start and stop the timer. If another app has already claimed that combination, Paydesk can’t use it. Change the shortcut in the other app, or start and stop the timer from the menu bar.

I forgot to stop the timer.

If you step away while a timer runs, Paydesk asks what to do with the idle time when you come back. You can change when it asks in Settings → Time → Ask about idle time after. Any entry can also be edited in Time.

How is billed time rounded?

Choose an increment in Settings → Time → Round billed time up to. Your logged time stays exact; only the billed quantity is rounded.

Invoices and documents

How do I change the invoice number format?

Go to Settings → Documents → Numbering. Build the format from tokens such as {prefix}, {yyyy}, {fy} and {seq:4}, and choose when the sequence resets. Numbers are assigned when a document is issued, with no gaps and no repeats.

I issued an invoice with a mistake.

Issued invoices can’t be edited, so the version your client received stays on record. Open the invoice and choose Correct Invoice: Paydesk creates a credit note for it, and you can then issue a corrected invoice.

How do I send an invoice or a reminder?

Open the invoice and press Send, or press Remind next to an overdue invoice on the Desk. Paydesk opens a Mail message in the document’s language with the PDF attached. Check it, then press Send in Mail. You can also Export PDF or print with ⌘P.

Can clients pay by card?

Paydesk doesn’t process payments. Your documents show the bank details you enter, plus a SEPA payment QR code for euro transfers. When money arrives, choose Record Payment on the invoice; partial payments are fine.

Which tax rate should I use?

Paydesk suggests a preset for your country, and you can edit it. Presets are starting points, not tax advice, so check the rate and wording with your accountant.

Your data

Where is my data?

In Paydesk’s library on your Mac, inside the app’s sandboxed folder. It never leaves your Mac unless you export or send something yourself.

How do I move Paydesk to a new Mac?

Use Migration Assistant or restore from a Time Machine backup; your Paydesk library comes along. It’s also worth keeping an archive with Settings → Data → Export Everything.

How do I give my accountant what they need?

In Reports, open the export menu and choose Accountant Pack. You get one ZIP with CSV files, every issued PDF and every receipt for the period. Individual CSV exports are there too.

Does Paydesk sync between Macs?

Not yet. Each Mac keeps its own library.

How do I remove the sample data?

Settings → Data → Remove Sample Data. Only records marked as sample are removed.

Buying and installing

What’s the difference between buying direct and the Mac App Store?

It’s the same app at the same price, $9.99 once. From the Mac App Store you pay with your Apple Account, and it installs and updates through the App Store. Buying direct, you pay through our payment provider, Polar, and download Paydesk from the link in your order email.

How do I reinstall Paydesk?

From the Mac App Store: open the App Store, click your name, and find Paydesk under your purchases. Bought direct: use the download link in your order email, or email us with your order details.

How do I get a refund?

For Mac App Store purchases, Apple handles refunds: request one at reportaproblem.apple.com. For direct purchases, email us with your order details.

What Paydesk doesn’t do yet

We’d rather you know before you buy:

  • No sync between Macs; each Mac keeps its own library.
  • No recurring invoices yet.
  • No card or online payments; Paydesk prints your payment details and a SEPA QR code.
  • The app’s interface is in English (documents come in nine languages).
  • It isn’t accounting software, and tax presets aren’t tax advice.
